Salesforce and Data Systems Manager

Job Overview

Serve as primary database administrator for Salesforce NPSP and LOCATE with 20+ users. Point person for ArcGIS mapping requests. Proactive staff training and troubleshooting on systems use.

This full-time, exempt position typically involves 40 hours per week, Monday through Friday, in our Des Moines office with occasional opportunities for travel statewide to participate in weekend/evening events with regional staff and donors or volunteers. This role is primarily office-based, with flexibility for occasional remote work. The Salesforce and Data Systems Manager reports to the CFO, works closely with the development, administrative and land staff teams, and has no supervisory responsibilities.

Job Duties

60% Salesforce Optimization

Designing and building Flows, Automations, Reports & Dashboards, List Views, and Mail Merges; Configuring Apps/Fields/Objects and conducting mass data imports/updates when necessary.

Working with program teams to ensure data is being captured and workflows are being automated in ways that improve efficiency and efficacy.

Overseeing associated apps that support Salesforce use – LOCATE, Apsona, MailChimp, Volunteers for Salesforce, Sage and others as identified.

Conduct Weekly Data Backup Exports

Consult with colleagues on desired improvements; encourage feedback and increased system content when possible/reasonable/beneficial.

Proactive identification and prioritization surrounding areas of greatest potential for error/inaccuracy.

Asking specific clarifying questions, devising multiple solution pathways, and communicating best practices as well as limitations to stakeholders.

Conducting research, eliminating system ‘junk’ (unused/incomplete/leftover resources), reducing points of redundant entry.

Save Weekly Export files to J Drive, use as reference/backup if needed.

20% ArcGIS

Generate maps for board meetings, presentations, communication materials, and general use as requested.

General administration of ArcPro and ArcGIS Online Systems – troubleshooting, updates, training and license procurement and management.

Research and develop improvements to INHF’s GIS system

Maps prepared accurately and in a timely fashion.

Willingly assists staff with mapping needs.

Work cooperatively with GIS team to create layouts, online maps and other mapping templates or products to support use of GIS by other staff.

10% Education and Training

Review Salesforce builds/updates

Attend quarterly nonprofit meetings and monthly Salesforce webinars


Research/implement CRM best practices

Provide formal, scheduled sessions, training, and ongoing reminders/sharing of best practices  to staff for their use of Salesforce, ArcGIS, and other systems

Flexible availability for troubleshooting systems with staff

Subscribe to Salesforce notifications, read detailed notes and take any necessary actions.

Subscribe to local Salesforce Trailblazer groups, review group discussions and plan to attend meetings and webinars.

Use Trailhead, Trailblazer, Google, StackOverflow, ESRI Training Resources and more to learn from others and ensure reliable implementations.

Review user login data, conduct regular check-ins with staff about system use and individual needs.

Carefully identify/review/distribute relevant training information  to all staff and individual users.

Respond to staff issues and questions to resolve issues and clarify processes.

Prompt responses, enthusiastic assistance, asking clarifying questions, focus on de-centralized (online database) solutions.

10% Administrative and professional development

Skills
  • Proficient in Salesforce administration, data entry, and Microsoft Office.
  • Basic knowledge of ArcGIS Pro and ArcGIS Online or willingness to learn.
  • Strong interpersonal skills and organizational ability.
Qualifications
  • 2 to 3 years of Salesforce experience, preferably in an Admin role.
  • Excitement about the possibilities of the CRM.
  • Ability to work patiently with people of varying technical skills.
  • Interest in nonprofit work, and personal alignment with our organization’s mission.
  • Demonstrated ability to work well with others, in and out of the office.

The salary range for this position is $57,000 - $79,000.
